Bookings & Cancellations
Last updated: September 2026
This policy sets out how bookings, cancellations, rescheduling and refunds are handled for all Services and Works provided by Hattat Ibrahim. It forms part of our Terms & Conditions and does not affect your statutory rights under the Consumer Rights Act 2015 or the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
1. Confirming a booking
A place is secured only once we have confirmed it in writing and the relevant fee or deposit has been received. Places on term-time classes, cohorts and workshops are limited and allocated in order of confirmed payment. Waitlist places are offered in order of registration.
2. Your statutory cooling-off period
Where you book at a distance (online, by email, telephone or WhatsApp) you normally have 14 days from the date of booking to cancel for a full refund. If you ask us to begin Services within those 14 days, you will pay for any sessions already delivered, and the right to cancel is lost once the Services have been fully provided.
3. Term-time classes and homeschool cohorts
- Cancellation more than 14 days before the start of term: full refund.
- Cancellation within 14 days of the start of term: 50% refund, or full credit towards a future term.
- After the term has begun: no refund for the remaining sessions, except in exceptional circumstances at our discretion.
- Missed sessions cannot be refunded, but we will share practice guidance so the Student can keep pace.
4. Private 1-to-1 tuition
- Lessons may be rescheduled free of charge with at least 48 hours' notice.
- Lessons cancelled or missed with less than 48 hours' notice are charged in full.
- Unused lessons within a prepaid block remain valid for 6 months from purchase.
- If the teacher cancels, the lesson will be rescheduled or refunded in full.
5. Studio workshops
- Cancellation 14 days or more before the workshop: full refund.
- Cancellation between 7 and 13 days before: 50% refund or transfer to another date.
- Cancellation less than 7 days before: no refund, but you may transfer your place to another person by notifying us.
6. School, mosque and community events
- A deposit of up to 30% may be required to secure the date and is non-refundable within 30 days of the event.
- Cancellation more than 30 days before the event: deposit refunded or held against a new date.
- Cancellation 8–30 days before: 50% of the total fee is payable.
- Cancellation 7 days or fewer before: the full fee plus any non-refundable travel costs incurred is payable.
7. Commissions and artworks
Commissions are made to order. A non-refundable deposit (normally 50%) is payable when the design is agreed; the balance is payable before dispatch or collection. Once work has begun, commissions cannot be cancelled for a refund of the deposit.
Ready-made Works purchased at a distance may be returned within 14 days of delivery for a refund of the price, provided they are returned in their original condition. Return postage is at your cost unless the Work arrived damaged or not as described, in which case please notify us within 48 hours of delivery with photographs.
8. Cancellation by the Academy
If we must cancel a Service due to illness, insufficient numbers, venue unavailability or other circumstances beyond our control, we will offer an alternative date or format, or a full refund for the affected Service. We are not responsible for travel or accommodation costs you have incurred.
9. How to cancel
Please notify us in writing, by email or by WhatsApp on 07438 752958, stating the name of the Student and the booking concerned. The date we receive your message is the date of cancellation.
10. Refund method and timing
Refunds are made using the original payment method within 14 days of the cancellation being confirmed.
